Terms of Service

1. These terms

These terms govern your use of TravelQuix, provided by TravelQuix. By opening an account, or by using the service, you agree to them. If you are agreeing on behalf of a company, you confirm you are authorised to bind it.

Where a signed order form or separate agreement exists between us, that document takes precedence over these terms to the extent they conflict.

2. The service

TravelQuix is a hosted platform for building quotations and itineraries, holding supplier and rate information, generating documents, and producing trip booklets. Which features are available to you depends on the plan attached to your company.

We may change, add or remove features. Where a change materially reduces functionality you rely on, we will give reasonable notice.

3. Accounts and access

You are responsible for the accounts created under your company, for the actions taken through them, and for keeping credentials secure. Tell us promptly if you believe an account has been compromised.

Roles and permissions are yours to configure. Partner agents you invite receive a restricted view; you are responsible for deciding who to invite.

4. Your data

The content you enter, including rates, supplier details, traveller records, documents and booklets, remains yours. We process it to provide the service, and in line with the Privacy Policy.

You are responsible for the accuracy of what you enter and for having the right to enter it, including personal data about travellers and supplier contacts.

You can export documents and booklets as PDFs at any time while your account is active.

5. Acceptable use

You agree not to:

• Use the service to break the law, or to store content you have no right to store.
• Attempt to access another company’s data, or to circumvent the permission and plan limits in the product.
• Resell or expose the service to third parties other than through the partner-agent access the product provides.
• Probe, scan or load-test the platform without our written permission.

6. The AI assistant

The AI assistant produces drafts and suggestions. It can be wrong. You are responsible for checking anything it writes into a quotation, a document or a booklet before it reaches a client. Each plan includes a monthly allowance; usage beyond it may be limited until the allowance resets.

7. Fees

Fees depend on the plan attached to your company. Fixed plans are billed for the period in advance. Pay-as-you-go plans are billed as a monthly minimum plus usage recorded in the period. Fees exclude taxes unless stated otherwise.

Non-payment may lead to suspension. A suspended account keeps its data but loses access to the features the plan provides until the balance is settled.

8. Availability and support

We aim to keep the service available and to fix faults promptly, but we do not promise uninterrupted availability unless a separate service level agreement says so. Planned maintenance is announced where practical.

9. Termination

You may stop using the service and close your account at any time. We may suspend or terminate access where these terms are breached, or where required by law.

After termination we retain your data for a limited period so it can be retrieved, then delete or anonymise it, subject to any legal retention obligations.

10. Liability

Nothing in these terms limits liability that cannot be limited by law. Subject to that, neither party is liable for indirect or consequential loss, or for loss of profit, revenue or anticipated savings, and our total liability in any twelve-month period is limited to the fees paid for the service in that period.

TravelQuix is a tool for producing quotations and documents. Commercial decisions, the accuracy of prices given to clients, and the fulfilment of the trips you sell remain yours.

11. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
